Volunteer Group Information

Welcome!

If you are interested in your youth group volunteering to work a week during our summer sessions 2008, the following will give you an idea of what is expected. If you would like to sign up for a week of service, please contact the camp office.

Facilities for Youth Groups 

Lewis Volunteer House - sleeps 24 (12 on each side) with 2 bathrooms, 2 additional showers have been installed behind the Lewis Volunteer House.  

Responsibilities

1. Keep Lewis Volunteer House picked up and clean inside and out. We are asking everyone at camp each week to keep their quarters as neat as possible. The campers, counselors and staff are to make their bed and straighten their areas daily. 2. Work in and around the dining hall. Work assignments will be in the cooking area, cleaning area, eating area, bathrooms and outside area, as well as special projects. 3. Sometimes small outside jobs with Mel Bowman (Executive Director). Occasionally Mel has outside jobs that need to be done like mowing, trash detail, etc. When these come up you will be called on to volunteer to help with them.

What to bring

Sleeping bag, toiletries, appropriate clothing (remember you are setting a Christian example to the campers so no short shorts, mid-drifts or other inappropriate clothing) Bible, swimsuit (one piece for the ladies), and lots of energy! Prepared skits for Wednesday night’s talent show. This is a GREAT NIGHT of fun for all! Please have your group come prepared to participate and if they have time to plan for this it’ll an even better time for all!

Arrival

Sunday afternoon (please let the office know an anticipated arrival time so we’ll know about when to expect you). Please go to the dining hall first where you will meet with Mel Bowman, Executive Director of Camp of the Hills. The Volunteer Coordinator will meet with you on Sunday night. 512-755-2052.

Duties

Kitchen At least two adults and at least five kids need to be in the cooking kitchen. It would be good to have the kids who like to cook and have experience work in this area. It will take 3 kids to help with the cooking and setting up and 2 dishwashers to wash dishes in the cooking kitchen. Dishwashing Area You will need to assign 3 at the dishwasher and sink area. You will need 4 to take dirty dishes to the sink and clean and wipe down the counters and put all the dishes away properly. Assign 2 to take out all the trash at the dining hall (inside and out) and refill the trashcans with trash bags. Assign 2 to vacuum and wipe down the tables. Additional Needs Along with these jobs you will need 2 servers for every cabin. These folks are responsible for setting the tables and serving the food for every meal.

Schedule

Monday The campers arrive after lunch so this gives us two opportunities to practice most of our daily activities.

Tuesday Breakfast, lunch and supper duties.

Wednesday Breakfast, lunch and supper duties. Talent Show Night (this is usually a late night)

Thursday Breakfast, lunch and supper duties (easy clean up as we use paper products for supper as this is our Crucifixion evening).

Friday Breakfast, lunch and supper Banquet (there will be cooking duties only this night as the counselors honor the volunteers and the campers). This is a late night.

Saturday Breakfast only We are blessed that you and your group have chosen to serve with us at Camp of the Hills. We are all here for one purpose, to show Jesus and His love to these children who might not otherwise know of Him. Please encourage your group to remember this at all times. Our prayer is that God will richly bless you while you are here. We encourage you to take advantage of your off time to participate in any of the activities that are going on at those times (Bible Study, Sports, Recreation, etc.).

Regarding:  Food for the Summer

Your response for committing to help bring food has been amazing.  Many of you have also indicated that you can bring twin mattresses for the Lewis Volunteer house.  I hope in this letter to give you options that will help you decide how you can best help.

MEAL TIME:  Much More Than Just Food

Question?  Did you know that many of the children that come to camp seldom experience eating together as a family?

We feel like meal time is a natural extension of the ministry of camp.  We want the kids to develop more of a family type bond and eating together as a “family” around a table helps.  It is another way of preparing them for a future that many seldom have the chance to experience.  We want “table time” to be a time when they see kindness by the servers and meals prepared by cooks with love and dedication.  (Many cooks visit the tables while the kids are eating and minister to the kids while they are enjoying the meals.)

We want meals to be nutritious but we also want them to be special.  For example homemade cinnamon rolls are not the best breakfast for the kids…..BUT as a one day surprise it’s a great thing for the kids to enjoy.  We want to encourage you as volunteers to plan these types of surprises for meal time.

You can get involved in helping supply food in four different ways.

1.  You can plan the week’s entire menu and bring food to cover the meals.  You will be preparing the following meals:  Monday morning breakfast and lunch for volunteers and counselors-approximately 65 to 70 people,  Tuesday-Friday meals for 150 to 170, and a quick breakfast for Saturday morning.  We also try to provide an afternoon snack for four days.  Note: Many groups precook items like casseroles, deserts, etc.  They come with 350 hamburger patties and wieners ready to grill on Thursday.

2.  You can have a food drive in your Church and Bible classes and fill the pantry at camp.  This type of drive helps get the whole congregation involved in the ministry.

3.  You can do a combination of the above.  You can imagine how many carts you will have at Sam’s Club if you go and buy the food for 2,200 plus meals and how long the receipt tape would be.  We are able to get a lot of quality food from our local food bank and it greatly reduces our food cost.  It has worked well in the past for groups to bring food for a couple of meals only, have a food drive for some specific items, and then use the camp pantry to develop and provide the balance of the meals.

4.  You can bring cash and supplement  food purchases.  As you might expect we buy large quantities at Wal-Mart. (You will get some strange looks while there and you have two carts full of milk, two more full of bread, etc. and the same clerk checked you out with a similar load the day before!)

As you might imagine coordinating all of this might be a bit overwhelming.  It has worked and worked well over the years because of the special attention and hard work of dedicated Christians who somehow take whatever is in the pantry and prepare it with love and skill.

Items for Pantry

Breakfast foods

     Bacon, sausage, and ham-around 1,200 pounds

     Eggs-we will use about 3,000 this summer

     Cereal-about 40 cases

Bulk foods

     Ground beef, turkey, about one and a half tons

     Chickens/turkeys-about 500

     Beef Brisquits-98 or so

     Canned vegetables-around 110 cases (corn, green beans,)

     Sugar-1,000 pounds

     Brown Sugar-100 pounds

     Flour-1,200 pounds

     500 packets of Kool-Aid or punch-presweetened preferred

     Fresh Fruit-apple, bananas, grapes,etc.

     Flour tortillas 1,400

 Supplies

     1,000 rolls of toilet paper

     1,000 rolls of paper towels

     9,000 paper napkins

     800   55 gallon trash bags

     1,000  33 gallon trash bags

     1,000  13 gallon trash bags

     1,000  3 gallon trash bags

 Of course there are many other supplies that we need and use at camp.  We also are in need of new underwear and socks for kids.  (Many arrive with very little.  In addition clothes and tennis shoes are important to have available to give to those in need.  The clinic is always in need of lice shampoo, bandages, and other medical supplies.

 You can help us coordinate this undertaking by letting us know what you hope to bring.  (If everyone showed up with a 1,000 pounds of sugar we would certainly be the sweetest camp in Texas but overloading the kids with sugar can make for some long summer days for the counselors.)  We will also work on this weekly as we progress through the summer.  We can let the groups that are coming the next week know what is already available at camp.
